Summary

  • Symfonia and the Union of Entrepreneurs and Employers (ZPP) have developed a report on the digitization of the SME sector in Poland, ahead of the mandatory introduction of the National e-Invoice System (KSeF).
  • The study aimed to assess the awareness and implementation level of digitization among entrepreneurs by 2023.
  • KSeF will allow public administration to have real-time insight into every economic transaction, requiring entrepreneurs to adapt their processes and tools to new requirements.
  • The report reveals that only 14% of surveyed SMEs use the cloud, 13% use process management systems, and 3% use artificial intelligence in daily business operations.
  • 44% of respondents see the main benefit of digitization as an increase in work efficiency, 33% see a reduction in environmental impact, and 19% see the potential for increasing company revenues.
  • However, 46% of respondents are concerned about the costs of digitization, and 16% of companies reported employee resistance to change.
  • Piotr Ciski, President of the Symfonia Board, notes that KSeF is an opportunity for Polish SMEs to develop their business through better use of data.

10 months before the mandatory introduction of the National e-Invoice System (KSeF), Symfonia and the Union of Entrepreneurs and Employers (ZPP) have developed a report Digitization of the SME sector in Poland. The aim of the study was to check how in 2023 the awareness of digitization of companies and its level of implementation among entrepreneurs is presented.

"In the study, we focused on SMEs, as they constitute the backbone of the Polish economy" - says Piotr Ciski, President of the Symfonia Board.

"The upcoming mandatory total digitization of invoices will also cover other market segments. We are the only country in the European Union that introduces KSeF for all fiscal documents in business: without any quantitative or settlement area restrictions. This is a huge challenge for Polish entrepreneurs, which affects not only IT systems, but also internal processes related, among others, to the circulation and acceptance of cost invoices" - he adds.

The introduction of KSeF will allow public administration to have real-time insight into every economic transaction, as they will be processed in the central e-invoice system. This requires entrepreneurs to change processes and adapt tools to new requirements. The National e-Invoice System is a fully digital solution, which means that the entire market will naturally move some of its business processes to the cloud.

Meanwhile, as the report shows, only 14% of surveyed SMEs declare using the cloud, and 13% use process management systems, including ERP. The percentage of micro-companies does not exceed 10% in both of these categories. At the same time, only 3% of respondents declare the use of artificial intelligence in daily business operations.

The study also shows that 44% of respondents see the main benefit of digitization as an increase in work efficiency. 33% of respondents see a reduction in the harmful impact on the environment. Only 19% of respondents see the potential for increasing company revenues in digitization. However, almost half of the respondents (46%) are afraid of the costs associated with digitizing their organization. To this are added purely human fears - 16% of companies declared a reluctance of employees to change.

"It is surprising that only 19% of respondents see the financial benefits of digitization. Meanwhile, KSeF is an opportunity for Polish SMEs to develop their business through better use of data" - notes Piotr Ciski.

"E-invoice is the last stage of the sales process - issuing a sales document. With the introduction of KSeF, our entrepreneurs are only a step away from reaching for the digitization of almost the entire process: in a great simplification - from order to invoice. Tools and systems available on the market that integrate with KSeF provide deeper analytics capabilities, as the data is already digitized and can be easily further processed" - Ciski summarizes.
